How to Export Bill Export from QuickBooks Online (2026 Guide)

Follow these steps to export your QuickBooks Online bill export as a CSV file. Once exported, you can use any of our converter tools to transform the data for your target system.

Export Steps

Log in to QuickBooks Online

Open your browser and navigate to qbo.intuit.com. Sign in with your Intuit account credentials. You need at least Expenses view and Reports permissions to access bills and export them.

Navigate to the Bills page

From the left-hand navigation menu, click on Expenses and then select Vendors or Bills depending on your QuickBooks layout. You can also go directly to the bill list by clicking Expenses then Bills. The page is divided into tabs for Unpaid, Paid, and For Review.

Select the Unpaid Bills tab

Click on the Unpaid tab to view all outstanding bills. This displays your open vendor bills including the vendor name, bill number, due date, amount, and status. If you need both paid and unpaid bills, you can switch between the tabs or use the report method described later.

Configure the columns using the Gear icon

Click the Gear icon on the bills list page to customize which columns are displayed. You can toggle on or off columns such as Source, Bill Number, Bill Date, Due Date, Category, Amount, and Status. Select all the fields you want in your export before proceeding.

Tip: Make sure to enable the Bill Number and Vendor columns at minimum, as these are required for most import formats in other accounting systems.

Export to Excel

Next to the Gear icon, click the Export to Excel button. The file downloads to your browser's default downloads folder containing all the bill records visible on the current page with the columns you selected.

Alternative: Run the Unpaid Bills report

For a more detailed export with line-item breakdowns, go to Reports from the left menu and search for Unpaid Bills Detail or Bill Detail. Open the report and set your date range. This report shows each bill with individual line items, expense accounts, and amounts which provides more granular data than the list export.

Customize the report (optional)

Click Customize to add or remove columns such as bill number, bill date, due date, vendor, account (expense category), description, amount, tax code, class, and location. Set your date range to cover the full period you need and click Run Report.

Export the report to Excel

Click the Export icon in the top-right corner of the report and select Export to Excel. This downloads the complete bill detail report as an Excel workbook, which typically includes more data than the bill list page export.

Convert to CSV and review

Open the downloaded Excel file in your spreadsheet application. Go to File then Save As and select CSV as the format. Review the data to verify vendor names, bill numbers, dates, and amounts are correct. If you used the detail report, each row represents a line item and bills with multiple expense lines will span multiple rows. The file is ready for our converter tool.

Warning: If bills have been partially paid, the balance column will differ from the total. Make sure you are exporting the correct amount field for your migration needs.
